Project Officer

Main tasks
The Project Officer will be responsible for preparing and managing projects within different CEPS units and across a network of partner institutes throughout Europe. They will work in close cooperation with CEPS research and operations staff. The main tasks include:
Project implementation
- Oversee the implementation of research projects, including the preparation of technical reports and budgetary and financial planning;
- Maintain an overview of technical progress and adherence to project budgets;
- Establish and maintain regular contacts and exchanges with project partners and subcontractors, representing CEPS externally;
- Follow up on the progress of projects (using Salesforce and other tools);
- Ensure the effective communication and dissemination of projects’ results;
- Providing support to the respective Head of Unit in driving project-related initiatives.
Project development
- Coordinate and draft tenders (e.g. for European Commission and Parliament) and project proposals (e.g. Horizon Europe), including background research, activities scheduling, budgeting and the overall management structure;
- Liaise with internal and external partners and stakeholders for content and administrative matters.
Events organisation
- Perform effective event planning and coordination based on the requirements of the different projects.
Your background and qualifications
Mandatory Requirements
- University degree in European studies, law, economics, political sciences, international relations, business, public administration, or other relevant subject; a postgraduate degree in EU affairs or EU funding is an asset;
- At least three years of relevant professional experience in project management, showing a good understanding of the EU funding programmes, in particular Horizon Europe;
- Experience managing several different projects at the same time;
- Knowledge of and relevant experience with grants and tendering procedures;
- Interest in EU institutions, policies and policymaking;
- Good negotiation skills and a diplomatic approach to conflict resolution;
- Excellent English oral and writing skills, with other EU languages an asset;
- Good analytical and organisational skills and the ability to meet tight deadlines and alternate priorities;
- Good networking abilities and interpersonal skills for an international environment;
- Good knowledge of Windows Office 365 (SharePoint, MS Teams, etc.), particularly an advanced command of Excel.
Desirable
- Management of at least one large EU-funded project, preferably Horizon2020 or Horizon Europe;
- Experience with foundations and other international donors;
- Knowledge of and relevant experience with Monitoring and Evaluation;
- Previous experience with Salesforce software;
- Knowledge of other software or data visualisation programmes is a plus, i.e. Tableau, InDesign, Canva, MailChimp.
