UIP (The International Union of Wagon Keepers) is looking for an EU Affairs & Administrative Assistant.

The role focuses both on supporting the development and distribution of UIP communications, as well as on performing a variety of administrative and clerical duties. The person will work closely with the Secretary General, the Manager European Affairs and the Junior Policy and Communication Officer and complement the team with his/her innovative and hands-on skills in managing our association’s general and administrative activities in a distinctively European context.

Job description and key responsibilities

Full-time position in the Secretariat of UIP in Brussels (rue Montoyer 23). The EU Affairs & Administrative Assistant will undertake work on the following tasks and topics:

EU Affairs

  • Support the process of monitoring EU policy proposals affecting rail freight transport and the businesses of freight wagon Keepers;
  • Contribute to the production of communication materials (e.g. e-mails, position papers, annual reports, press releases, alerts, newsletters, etc. );
  • Assist in the preparation of reports on policy and technical policy developments of relevance to the activities of UIP and its Committees.

Administration

  • Standard office and administrative tasks (e.g. receipt and forwarding of telephone calls, reception of guests, etc.);
  • Contribute to resource and project planning, assist with document management;
  • Management and update of UIP’s contact database;
  • Format, photocopy, scan, print and bind documents as required;
  • Produce accurate, attractive and well-presented documents from unformatted text and data using PDF, Word, PowerPoint, and Excel;
  • Organize office operations and procedures;
  • Maintain the office condition, arrange necessary repairs and ordering stationery and equipment;
  • Manage budgets, membership fees, reconcile credit card statements and process invoices;
  • Manage contract and price negotiations with office vendors, service providers and office lease;
  • Manage office budget, ensure accurate and timely reporting;
  • Perform other related duties as assigned or requested.

Skills & Qualifications

  • Proven working experience as an administrative assistant;
  • Ideally, experience of working in the area of EU affairs in Brussels;
  • Fluency in English and French is a must (other languages an advantage);
  • Strong organisational and time management skills, attention to detail;
  • The ability to work pro-actively and cooperatively in a small team;
  • Flexibility and willingness to assist as the need arises;
  • Familiarity with all Office computer programmes and new media tools;
  • A demonstrated ability to read and comprehend written/graphic and oral instructions;
  • Has the ability to perform responsibilities without the necessity of close supervision;
  • Maintains a generally positive attitude.
