The European Molecular Biology Laboratory (EMBL) is one of the highest ranked scientific research organisations in the world. The Headquarters Laboratory is located in Heidelberg (Germany), with additional sites in Grenoble (France), Hamburg (Germany), Hinxton near Cambridge (UK), Monterotondo near Rome (Italy) and Barcelona (Spain).
The Administrative Assistant of the Core Facilities and Scientific Services Unit will work closely with the Unit Administrator to support the organisational aspects of the department. (S)he will be responsible for providing secretarial services, administrative and organisational support, including:
- Support to and back-up for the Administrator of the unit;
- Making travel arrangements and taking care of internal and external reimbursements for unit members;
- Preparing correspondence, providing general secretarial services, including filing and preparing shipments;
- Helping with the organisational logistics of visiting scientists;
- Providing support in organising meetings;
- Establishing and maintaining efficient office procedures;
- Perform any other duty that may be assigned by the Head of Unit.
Qualifications and Experience
The post requires excellent secretarial, administrative and organisational skills, discretion and respect of confidentiality. The successful applicant will possess the ability to pay attention to detail while being able to effectively complete multiple parallel tasks with patience and good humour. (S)he must be service-oriented, possess good judgment and the ability to maintain effective working relationships in a multi-cultural environment. The ideal candidate will have relevant education, training and work experience, preferably in an international or scientific environment. In addition to fluency in written and spoken English, a good working knowledge of German is required.
Appropriate IT skills with a sound working knowledge of commonly used office software are expected. Outstanding interpersonal skills are essential, with a demonstrated track record for performing well in a team environment, while having an independent, responsible and motivated attitude.
